New Procurement Card Food and Non-Alcoholic Beverage Policy

Effective Friday, March 1, mandatory use of the Procurement Card (P-Card) will encompass justified food and non-alcoholic beverage purchases from Chartwells, Wegmans, and Panera Bread. Departments currently without an assigned P-cardholder are encouraged to designate a cardholder and complete the required application. Cardholders must submit the food and beverage allowability chart, business purpose, itemized receipt, and sign-in sheet when practical for each purchase with their monthly reconciliation for internal audit. This will create more flexibility and efficiency for campus stakeholders to purchase food and non-alcoholic beverages, in alignment with SUNY policies, and campus procedures.

All cardholders will use their P-cards upon placing an order within the Chartwell’s ordering system; however, their P-Cards will not be charged until after the catered event.

All events that have already been booked in Catertrax with Chartwells will need P-Card information uploaded to their online wallet by March 1 unless already submitted to Procurement (instructions on accompanying document). Once your P-Card is added to your online wallet, it will not need to be entered again for other events until the card expires and will need to be updated at that time. There will no longer be a need for Wegmans Business cards that are linked to state accounts. Wegmans Business cards will become inactive effective Friday, March 29.
